We are seeking a proactive and detail-oriented Administrative Assistant to support the financial and administrative coordination of consultancy services delivered to the European Institutions.
Review, verify, and process supplier invoices in alignment with contract agreements and company compliance policies.
Support the preparation of client deliverables by compiling reports and generating invoices for consultancy projects.
Check and validate consultant timesheets to ensure accuracy, completeness, and prompt submission.
Work closely with Project Managers and Finance teams to monitor budgets, track profitability, and oversee overall financial health of projects.
Coordinate project closure activities and prepare all necessary documentation for internal reviews and external audits.
Maintain up-to-date records and data within company dashboards, spreadsheets, and project management systems.
Design, format, and polish professional presentations and internal reports using tools such as Microsoft PowerPoint.
Advanced proficiency in Microsoft Office Suite; experience with ERP platforms such as Deltek or SAP is highly valued.
Fluent in English, both spoken and written; French language skills are considered an advantage.
Exceptional attention to detail combined with strong analytical and problem-solving abilities.
Well-organized and flexible, capable of handling multiple priorities and meeting strict deadlines.
Self-motivated team player with a positive mindset and the ability to work both collaboratively and independently.
Quick to learn and adaptable, eager to acquire new skills and embrace additional responsibilities.
Experienced in collaborating across departments including finance, procurement, recruitment, and contracts.
Knowledge of European Institutions and experience with framework contracts is a significant plus.
At least 3 years’ professional experience in administrative, financial, or project coordination roles.
